From the questionnaire and payment: When you purchase a Clearmark package and complete our questionnaire, we collect your name, email address, phone number, business name, and business information. This information is necessary to understand your project brief and deliver your website.
From payments: When you pay via Stripe, we receive your email address and billing information. Stripe processes all credit card and payment data according to their own privacy policy. We do not store your credit card details.
From file uploads: You may provide logos, photos, product images, and other content via Dropbox File Requests. We store these files temporarily during your project and retain them for 12 months after delivery in case you need to request changes. These files are stored in our Dropbox account, which is secured with two-factor authentication.
From your website: If you choose to use Google Business Profile integration or Google Ads services, minimal analytics data may be collected. This is separate from Clearmark and subject to Google's privacy policy.
To deliver the service: We use your information to build your website, understand your requirements, and deliver the final product on time and to specification.
To communicate: We use your email and phone number to contact you about your project, request feedback, and provide updates on delivery status. You may opt out of non-essential communications at any time.
To issue invoices: We use your information to create and send tax invoices and payment receipts as required by Australian tax law.
For hosting and maintenance: Your website is hosted on Cloudflare Pages. Cloudflare collects minimal analytics data to monitor uptime and performance. You can opt out of analytics tracking if desired.
Stripe (payments): Payment processing is handled by Stripe. Your payment information is subject to Stripe's privacy policy and PCI compliance standards. We do not have access to your complete credit card information.
Web3Forms (questionnaire): Your questionnaire is submitted through Web3Forms. Web3Forms may collect your email and form data in accordance with their privacy policy.
Dropbox (file uploads): Project files are stored in our Dropbox account. Dropbox encrypts files at rest and in transit. Your uploaded files are retained for 12 months post-delivery, then deleted.
Cloudflare (hosting and analytics): Your website is hosted on Cloudflare Pages. Cloudflare may collect IP addresses and minimal analytics data to track website performance. Clearmark does not use Cloudflare analytics to track individual user behavior on your website. Cloudflare's privacy policy is available at cloudflare.com/privacy.
Google (optional): If you opt in to Google Business Profile integration or Google Ads, your business information will be shared with Google. This is subject to Google's privacy policy and your separate agreement with Google.
Project files: Files uploaded for your project are retained for 12 months after your website is delivered. After 12 months, files are permanently deleted from our systems. You are responsible for backing up any original assets you wish to keep.
Payment records: Payment records and invoices are retained for 7 years in accordance with Australian Tax Office requirements.
Communication records: Email correspondence and project notes are retained while your account is active and for up to 2 years after your final delivery date. You may request deletion of your communication records at any time.
Our website features an AI-powered chat widget to help answer your questions and assist with enquiries. When you interact with the chat widget, your messages are processed by our AI system to generate responses.
Data storage: Chat conversations may be stored in our customer relationship management (CRM) system for the purpose of improving our service, following up on enquiries, and personalising future communications.
No third-party sale: We do not sell your chat data to third parties. Chat data is used solely by Clearmark to deliver and improve our services.
